Field Trips-Sack Lunch Requests

  • East Valley School District provides nutritious, reimbursable sack lunches for students attending school-sponsored field trips. These meals follow all federal guidelines under the National School Lunch and School Breakfast Programs.

    How to Request Sack Lunches

    To ensure availability and compliance with federal meal requirements, please follow these steps:

    1. Submit Your Request
    1. Confirmation
    • You will receive a confirmation email from the Food Service Department within 2 school days of submission.
    • If you do not receive confirmation or have any questions, please contact:

    1. Pick Up
    • Pick up your sack lunches at the scheduled time and location on the day of your trip.
    1. When You Return
    • Return any uneaten sack lunches to your school kitchen promptly. Per USDA food safety guidelines:
      • Sandwiches must be discarded
      • All other returned items will be collected by the Inventory Specialist
  • A standard East Valley sack lunch includes:

    • SunButter & Jelly Sandwich (Meat/Meat Alternate + Grain)
    • Vegetable
    • Fruit
    • Dessert (e.g., graham crackers)
    • Milk (1 cup)

    Offer vs. Serve is not required for field trip meals. All components are provided as a unit to ensure a reimbursable meal.

  • Food Service Secretary

    • Coordinate with Jennifer, Teri, and LaVon upon receiving the sack lunch request
    • Confirm logistics with the requesting staff member
    • Notify Lead Cooks and Inventory Specialist

    Inventory Specialist 

    • Order and manage food supply
    • Coordinate pickup or delivery with Lead Cooks

    Lead Cooks

    • Teri- Coordinate preparation or prepare sack lunches
    • Ensure sack lunches are prepared for all grade levels
    • Communicate pickup details with Assistant Cooks
    • LaVon-Ensure meal counts are correctly entered in Skyward and Health-e Pro, Create tally sheets and reconcile reports

    Assistant Cooks

    • Support sack lunch pickup coordination
    • Adjust daily lunch counts based on sack lunch participation
    • Handle food returns properly (discard sandwiches, box remaining items for Inventory Specialist)
    • Notify the Inventory Specialist of returned food
  • Per USDA/OSPI guidelines:

    • Only student meals are reimbursable under federal programs.
    • Meals for adults, staff, or parent chaperones must be pre-ordered and prepaid at the current adult meal rate.
    • Adult sack lunches must be included in the original request.
    • Meals for adults will be included with student sack lunches at pickup.

    If a principal or administrator would like to sponsor adult meals, they may coordinate payment with Food Services in advance.

  • To comply with USDA reimbursement rules, the following must be completed:

    • A class roster or check-off tally sheet must be used to distribute sack lunches
    • The tally sheet must be returned to the school kitchen immediately upon return
    • Counts based only on bags packed, leftovers, or field trip attendance will not be accepted for meal claiming

    Important Reminders

    • Sack lunches must meet USDA meal pattern requirements (milk, grain, meat/meat alternate, fruit, vegetable)
    • All meals must be kept at safe temperatures during transport
    • Only complete, reimbursable meals will be claimed
